Opero

School management, built in Kenya

Your entire school. One system.

Enrolment, attendance, parents, fees, results and the bus, in one place, for KSh 1 per child per day. Hosted in Kenya, so your children’s records never leave the country.

One school cannot see anotherEnforced by the database, not the software, and re-proven on every single deployment.
A receipt cannot be deletedOnly reversed, with a reason. The trail is append-only — not even we can edit it.
A child is signed off by nameBoarding, drop-off and the guardian confirming it. A bus run cannot close with a child unaccounted for.
Your records stay in KenyaHosted here, backed up nightly, and the restore is tested weekly rather than assumed.

Four modules. Take the ones you want.

Not a ladder of tiers where a small school is refused something for being small. Core is always included; the other three are switched on when you want them, at the same rate each.

Core Always included

KSh 1 per child per day

Enrolment, and everything that follows from it. Three consoles, each showing one person only what belongs to them.

  • The office console: learners and their full records, classes, staff, roles and permissions, the school calendar, admissions and settings.
  • The teacher console: the same system showing a teacher only their own classes and subjects. A teacher cannot mark a class they do not teach.
  • The parent console: a parent sees their own child and only their own child, is told when the child is marked absent, sees the homework set, and confirms collection.
  • Attendance, assessments, marks and printable report cards, with a results policy controlling what a parent sees and when.
  • Schemes of work, lesson plans and homework, per class and subject, readable by the head and kept as the teacher wrote them.
  • Admissions with a public application page, messages to the parents of a class, printable documents, and an audit trail nobody can edit.
  • The Ministry roster: every learner with their UPI, in the shape KEMIS asks for, as a file.

Transport Optional

+ KSh 1 per child per day

The bus, accounted for.

  • Routes, stops, vehicles and trips, with a price per route or per zone that goes straight onto the invoice.
  • A child who boarded and was never signed off is flagged, not forgotten.
  • The drop-off is recorded and the guardian is told.
  • The fleet log: fuel, mileage, servicing, NTSA inspection, insurance and speed governor, with what is due and what each bus has cost.

HR and Payroll Optional

+ KSh 1 per child per day

The staff side of the school.

  • Worker records with TSC numbers and contract dates, leave types, requests, approvals and balances.
  • Salaries kept as a history, so a payslip from March still explains itself in December.
  • A monthly payroll run: prepare, approve, mark paid. Preparing and approving are separate rights.
  • Payroll will not run until your school has entered and confirmed its own PAYE bands, NSSF, SHIF and housing levy. Opero does not assume tax rates.
  • Appraisals, recorded against the person with a rating and what was agreed.

Finance Optional

+ KSh 1 per child per day

Fees, salaries, projects, budgets, assets and stock.

  • Fee structures, invoices, receipts, statements, payments, allocations and adjustments.
  • Late-payment surcharges on your rule, payment plans agreed with a family, and a bank statement import that turns credits into receipts.
  • Projects: the classroom block, the bus, the borehole, with what each has actually cost.
  • Budgets: planned against actual, including the spending nobody budgeted for.
  • The asset register with book values, and the store: stock, reorder levels, and requisitions raised by one person and approved by another.

What it costs

KSh 20,000 once to set your school up, the same whatever its size. Then KSh 1 per child per day, for each module you run. Nothing else recurs.

LearnersCore onlyAll four modules
100KSh 3,000 a monthKSh 12,000 a month
300KSh 9,000 a monthKSh 36,000 a month
500KSh 15,000 a monthKSh 60,000 a month
800KSh 24,000 a monthKSh 96,000 a month

A school of 500 children pays about one term’s fees for one child, for the whole school, for a month.

Your data is yours. We run the system; you run your data.

Opero is the processor, and your school is the controller. That is not a phrase from a contract; it is how the software is built.

What Opero does not do yet

  • Take a payment from your school. Parents can pay fees by M-PESA from the portal once your school’s Daraja account is connected. Your school’s own Opero invoice is still settled by hand.
  • Reach every parent by phone on day one. SMS and WhatsApp are sent through your school’s own gateway account, connected during setup. Until it is, notices reach parents who have a portal account, which is why handing out those logins matters.
  • File with KRA on its own. Invoices are transmitted to eTIMS once your school is onboarded with KRA and the link is configured. Until then the finance screen says which invoices have not been sent.
  • Work without internet. Installing the app puts Opero on your home screen; it does not make it work offline. A register or a receipt still needs a connection.
  • Supply your tax rates. If you run payroll, your school enters and confirms its own PAYE bands, NSSF, SHIF and housing levy. They are set by government and they are your liability, so Opero will not guess them.
